Monitor Duties

While you are monitoring you are responsible for all activity in the lab, so please keep an eye on what is going on. Lab guidelines are posted and should have been read by all users, especially you. Make sure all rules are obeyed, and politely ask anyone not obeying lab rules to leave.

You must be present for all your scheduled shifts. If you are unable to report for your shift, it is your responsibility to find a replacement from the monitor roster. If you leave more than 1 shift uncovered, you will lose your monitoring position.

All undergrads, including monitors, are not allowed in the CFA past 11:00 p.m., or whenever the building is closed. Special permission to remain in the labs may be given to monitors who request it. One monitor must be responsible for the lab at all times. If more than one monitor is present after-hours, one person must be designated "in-charge". Your door codes do not work after 11:00 p.m. or when the building is closed. If you are alone in the lab when the building is closed, you may not leave and return to the lab. Once you leave, the door locks. For your safety and for protection of the equipment, do not ever prop open the lab doors or the exterior doors. Do not expect or ask campus police to let you into the labs after hours.

Alarm and door access codes are strictly confidential. If you share your codes, you will be dismissed.

Lab doors and windows must be closed and locked when the last monitor leaves. The alarm must be set when the labs are closed and faculty offices on the alarm system are empty.

Daily logs will be kept by the opening and closing monitors.


The biggies

NO FOOD OR DRINK NEAR COMPUTER WORKSTATIONS Food and drink which is brought into the labs may damage computers and keyboards. A table has been provided in 142. l Users may keep and consume food and beverages at that table only.

Being There You are the biggest deterrent to theft of lab equipment. Do not leave the room unattended. Monitors are to be in the lab during their entire duty time — no breaks are allowed. The lab monitor on duty is responsible for the lab at all times. If you need to leave momentarily to use the restroom, please find a responsible student to watch the room while you are out. Please do not leave after your shift until the next monitor shows up.

If you are working in the lab after hours, and you allow other students to use the lab, you are responsible for them, and you must be the last one to leave.

The Printer Use only supplied laser paper. Do not allow the use of any other papers. You must unjam the printers when problems occur. If you need help, find another monitor, or contact Dom. Only monitors and faculty are allowed to open up the printers. The key is located under the monitor's desk. Collect prints at 20 minute intervals, or more frequently as needed.

Contact In case of an emergency involving the equipment, or if you are unable to fulfill your duties, contact Dom Licata in 139 or at 830-4636.


Coming In

Alarm Before unlocking a lab door, make sure that the alarm outside of room 141 has been deactivated:

• a GREEN ready light will show if the alarm is deactivated (off),

• a RED light will show if the alarm is activated (on.)

The alarm protects labs 136, 140 and 142, and offices 137, 139, and 141.

Log-in The computer closest to the door is reserved for on-duty monitor use. Upon entering the lab for your shift please log-in immediately. This acts as a time clock to assure me that you're on time.

Mental Inventory When entering the lab, look over the computers and other equipment and check that nothing is missing. If computers or equipment appear to be missing please report this immediately to any computer department personnel. Do not allow anyone to remove equipment from the labs without first checking with Dom.


While you're on duty

User Questions Monitors are not required to help users with software questions, but should be able to resolve most common problems, such as stuck Zip disks or printer set-ups. Refer users to <http://www.art.buffalo.edu/resources/computerlabs

Equipment Sign-outs Users may need to sign out smaller hardware, such as microphones, headsets or the Wacom tablet. This equipment is kept at the monitors desk. Users must turn in their UB ID card (driver's license or similar collateral is acceptable) and sign out this equipment. When the equipment is returned, sign it back in and return their card.

Down Equipment If any equipment is damaged or functioning improperly or inconsistently while you are on duty, report it to Dom right away.

Books & Magazines Materials in the bookcase are for in lab use only and should not be removed from the room.

Fire Drills If fire alarm sounds, immediately instruct all lab occupants to proceed to the nearest exit. You must be the last person out. Make sure the door locks behind you.


At the end of your shift

Stations & Students As you prepare to leave make sure all of the room's computers are in order. If you are the last monitor to leave, make sure all users have left the room.

General Clean-up Please make sure that chairs are pushed under desks, trash is picked up and the lab is clean when you leave.

On/Off All equipment should be left on. (CPUs and monitors remain on in sleep mode when not in use — hit the space bar to wake them up.)

Lights & Doors If you are the last monitor to leave, turn off all lights as you leave the room, and double-check to make sure the door locks behind you. If for any reason it does not, contact a computer staff person, or campus security (2222). Do not leave until the room is secured.

Alarm When shutting down at the end of the day, or if you are the only person here, you must set the alarm outside of room 141. Before setting the alarm, make sure no one is in 136, 137, 139, 140, 141 or 142, and check that all doors are locked.
